Time Schedule for the closure of Postal Annual Accounts Period in CSI SAP is extended for the Financial Year 2022-23

Sub: Time Schedule for the closure of Annual Accounts for the Financial Year 2022-23- reg. As per schedule the accounts period in SAP to be closed by 4th of April 2023 and PAOs are expected to submit the March preliminary accounts by 10.04.2023.

Sub: Time Schedule for the closure of Annual Accounts for the Financial Year 2022-23- reg


Please refer to the time schedule for closure of accounts for the financial year 2022-23 communicated vide PA/Accounts/1-12/T.S/2022-23/5316 to 89 dated 20.03.2023 with a copy marked to all the DDGs of Dak Bhawan.


2. As per schedule the accounts period in SAP to be closed by 4th of April 2023 and PAOs are expected to submit the March preliminary accounts by 10.04.2023. However, CEPT F&A Team forwarded emails received from IPPB and CSI (copies enclosed), with a request to extend the accounting period for March 2023 in SAP, due to the following reasons.


(a) CBS files are expected to be received by CSI on or before 07.04.2023 morning

(b) For updation of CBS, IPPB & CSC GST data, system will take time and extend account period till 12.04.2023


3. It is to bring to your kind notice that though the accounts submission time schedule was communicated on 20th March 2023 with March account period closing on 4th April 2023, the same got impacted due to the technical reasons as mentioned in the emails. Extending the account period till 9th April 2023 on account of technical issues may impact the accounting and adherence of time schedule by the PAOs by 10.04.2023 and thereby resulting in delay of submission of Accounts to CGA.


4. In view of the above, the account period for March 2023 is being extended till 8th April 2023 in SAP. The functional divisions concerned are requested to take immediate action as mentioned below:

(a) FS Division is requested to ensure reflection of CBS data in CSI F&A Module on or before 7th April 2023 morning.


(b) PO Division is requested to issue necessary instructions to all Circles to check the Cash balances and other accounts data by 9th April 2023 and to instruct DDOs to closely coordinate with PAOs for submission of the final accounts for the Financial Year 2022-23.


(c) PMU Division is requested to take up with TCS for completing all the EoY activities by 8th April 2023 without further extension of Account period for March 2023.
