GDS Attendance Registration Process

The Department of Posts has introduced an online attendance registration process for Gramin Dak Sevaks (GDS) to streamline attendance marking through the AEBAS (Attendance and Employee Biometric Attendance System) platform. The following steps guide GDS officials through registration and attendance marking.

1️⃣ Before Registration

Before proceeding with registration, ensure the following prerequisites are fulfilled:

  1. Branch Post Office details are updated by the Divisional Nodal Officer on the Attendance Portal.

  2. Valid Aadhaar details — The Name, Date of Birth, and Gender on Aadhaar must exactly match the GDS records.

  3. Keep a recent scanned photograph ready in .jpg format, with a file size up to 150 KB.

2️⃣ Step 1: Employee Registration

  1. Visit your Divisional Attendance Portal.

  2. Click on Employee Registration (available on the left-hand side menu).

  3. Enter your Name (as per Aadhaar).

  4. Enter your Date of Birth (as per Aadhaar).

  5. Provide a valid mobile number for OTP verification.

  6. Click on Generate OTP.

  7. After successful OTP validation, proceed to the next step


3️⃣ Step 2: Attendance Registration by GDS

  1. Full Name – Auto-filled after Step 1.

  2. Date of Birth – Auto-filled (DD-MM-YYYY).

  3. Select Gender – As per Aadhaar.

  4. Enter Aadhaar Number – 12-digit valid number.

  5. Enter Email ID – Active and accessible.

  6. Mobile Number – Auto-filled.

  7. Enter Employee Code / GDS ID.

  8. Select Organization – Auto-filled.

  9. Select Employee Type – Choose Govt.

  10. Select Division/Unit – Choose Branch Office Facility ID.

  11. Select DesignationBranch Post Master (or applicable GDS role).

  12. Select Office LocationBranch Post Office name.

  13. Upload Photo – .jpg format, max 150 KB.

  14. Enter Captcha Code displayed on screen.

  15. Tick the Consent Box to confirm accuracy.

  16. Review and Submit all details carefully before final submission.

4️⃣ Step 3: Marking Attendance through DARPAN Device

Once registration is completed and activated by the Divisional Office, GDS can mark attendance using the DARPAN device.

Before proceeding:

  1. Ensure that AEBAS Mobile App and Face RD App are installed on the DARPAN device. (If not, contact your Division.)

  2. Verify successful registration on the portal and receipt of an 8-digit Attendance ID.

  3. Ensure your registration is activated by the Divisional Office.

  4. Open the AEBAS App on the DARPAN device and follow the on-screen instructions. (Refer PD-4 for detailed steps.)

  5. For any technical or registration issues, contact your Divisional SPOC.

🕓 Mark your IN and OUT attendance daily to ensure proper recording in the attendance system.

Key Notes

  • Use only official Divisional Attendance Portals for registration.

  • Cross-check all details before submission — modifications post-submission require Divisional approval.

  • Registration is a one-time process; attendance is to be marked daily via the approved DARPAN device.
