Mandatory Processing of Charge Report in APT 2.0 During Leave/Officiating Arrangements
It has come to notice that many officials are facing issues in accessing the APT application during deputations and officiating arrangements. This is mainly because in APT 2.0, roles are assigned based on Posts and not on individual User IDs (except for a few roles).
To ensure uninterrupted access and availability of roles, it is mandatory for all officials to process a Charge Report whenever they proceed on leave.
While initiating the Charge Report, officials must select the date of relief along with A/N (Afternoon) or F/N (Forenoon) option.
Types of Charge Report Options and Their Usage
The system provides four options. Their usage in different scenarios is explained below:
1. Relinquish on Leave

Used when an official proceeds on leave without any substitute.

Example: Normal office arrangements.
2. Assume on Leave

Used when the official returns from leave and joins duty.
3. Relinquish on Substitute

To be used especially by Heads of Office (PM/SPM) and Treasurers who hold cash and stamps.

While processing, the system will prompt for the Substitute Employee ID and will display Cash and Stamp balances.
4. Assume as Substitute

Used when an official assumes charge as substitute.

The substitute employee ID has to be selected in addition to the joining details.
Additional Step for Treasurers
Treasurers must transfer cash to the official taking charge:

Go to Treasury → Tools → Cash Transfer

The system will display the present user’s balance, which must be transferred to the substitute official’s User ID.
Illustration
If an SPM proceeds on leave, he/she must initiate the charge report using Option 3 (Relinquish on Substitute) and hand over charge to another official. The substitute may be from the same office (PA) or another office.

Important Reminder
It is once again reiterated that:

Charge Report is mandatory for all types of leave, including RH and CL.

Failure to process Charge Report may lead to non-availability of roles in APT 2.0.
